Conducting a Formal Evaluation

This guide walks you through completing a formal evaluation in Swiftscore, from logging in to reviewing the finished report — observation, summative, or any formal evaluation type your district uses.

What you'll need

  • An admin or evaluator account with access to the teacher you're evaluating
  • The teacher's name (or any identifying detail you can search by)
  • An evaluation framework configured for your organization (your district administrator sets this up — if you don't see one available when creating an evaluation, contact your Swiftscore administrator)

1. Log in

Go to your district's Swiftscore login page and sign in with your email and password. After logging in, you'll land on your dashboard or staff list.

2. Start a new evaluation

Click Create in the header. You'll see a selector asking what you're creating — choose the formal evaluation option (this may appear as "Formal Observation," "Summative Evaluation," or similar, depending on your district's configuration).

3. Fill in the details

  1. Select the teacher. Start typing the teacher's name and select them from the results.
  2. Select a framework. Choose the evaluation framework your district uses for this teacher (for example, a state rubric).
  3. Click Next to continue to the prep step.

4. Prep

Review and confirm any prep content for this evaluation — context about the cycle and what you're focused on observing. Click Next when you're ready to capture evidence.

5. Capture evidence

Swiftscore gives you a few ways to capture what happens during the observation:

  • Script — record live during the observation and Swiftscore transcribes it for you.
  • Notes — type your observations directly into the notes editor.
  • Upload — upload files (such as a recording or document) as evidence.

Use whichever method fits the moment. As you type or add evidence, Swiftscore saves your work automatically — watch for the "Saved" indicator so you know your notes are secure.

When you're done capturing evidence, click Next to move to report generation.

6. Generate the report

Click Generate. Swiftscore's AI will process your evidence and build the evaluation report — this typically takes under a minute. When it's finished, you'll be taken to the evaluation's detail page.

7. Review the evaluation

The evaluation detail page shows the teacher's name at the top and organizes everything into three tabs:

  • Evidence — the notes, transcript, and files you captured during the observation.
  • Evaluation — the rubric, broken down by domain and component, with a score for each. Click into any component for more detail.
  • Coaching — AI-generated coaching content, including suggested next steps and growth areas based on the evidence captured.

From here, the evaluation is complete and ready for your next steps — sharing with the teacher, scheduling a debrief conversation, or continuing through your district's evaluation cycle.

Tips

  • If autosave doesn't show "Saved" after typing, give it a few seconds before navigating away — your notes are being saved in the background.
  • If you don't see a framework option when creating the evaluation, your organization may not have one configured yet. Reach out to your Swiftscore administrator.
  • You can capture evidence using more than one method (for example, live transcription plus an uploaded file) — all of it will appear together on the Evidence tab.
