Exporting an Evaluation as a PDF
Download a print-ready PDF of a completed evaluation report — the full record of evidence, scores, and coaching notes in one shareable file.
Who can export
- Principals and admins (editor access) can download the full PDF from any evaluation.
- Teachers viewing their own evaluation in read-only mode see the same download option, scoped to what they're allowed to view.
How to export
- Open the evaluation you want to export.
- Click Download PDF from the evaluation page (in the header or actions menu).
- The PDF is generated and delivered to your browser as a download (or opens in a new tab, depending on your browser settings).
- The file is named using the teacher's name and the evaluation date, so it's easy to identify later.
Generation typically completes within a few seconds.
What's included in the PDF
The export contains the complete evaluation report, matching what's shown on screen across all three sections:
- Evidence — the transcript, observation notes, and a list of any attached files.
- Evaluation — the full domain breakdown, including per-component scores and narrative write-ups.
- Coaching — next steps, goals, and a summary of the coaching conversation.
Branding
Each PDF includes your district's logo and visual styling, so the exported report looks consistent with your district's identity.
Attached files
Files attached to the evaluation (such as audio recordings) are listed in the PDF by name, size, and upload date rather than embedded directly — this keeps the PDF file size manageable. If an audio file was transcribed, a note in the PDF points back to the transcript already included in the Evidence section. The PDF does not include download links for attachments; access those directly in the platform.
Frameworks
The PDF adapts to whatever evaluation framework your district uses, not just Danielson — domain and component structures in the export match what's configured for your district.
Page layout
The PDF is formatted for printing: page breaks are placed between domains so sections don't get cut off mid-page, and the document is self-contained (no external links required), so it stays readable when forwarded or attached to an email.
Teacher-facing view
When a teacher downloads or is shown a PDF, it reflects the teacher view of the evaluation — editor-only controls and affordances are not included, so the file is safe to share as-is.
Limitations
- Very long transcripts are paginated rather than truncated, but extremely long source material can affect generation time.
- Attachments are referenced, not embedded — the PDF is a summary and record of the evaluation, not a complete archive of every uploaded file.
- If generation fails (for example, due to a timeout), you'll see an error message and can retry the download.
Troubleshooting
If the Download PDF button doesn't produce a file:
- Check that your browser isn't blocking pop-ups or downloads for the site.
- Try again after a few seconds — generation can occasionally take longer for evaluations with large transcripts or many attachments.
- If the problem persists, contact your district administrator or Swiftscore support.
