Cycles, Goals, and Roster
This article covers three connected parts of Swiftscore: setting up and running evaluation cycles, working with goals, and managing your school's roster of teachers and staff.
Evaluation Cycles
An evaluation cycle is the container for a school or district's observation and evaluation work over a defined period — for example, a semester or school year.
Viewing cycles
From the Teachers & Staff area, open the Cycles tab to see every cycle for your organization. Each cycle shows its name, date range, and the stages it contains.
Click into a cycle to see its detail view, including:
- Start and end dates
- The milestones that make up the cycle
- Aggregate progress across teachers assigned to the cycle
Creating a cycle
Admins create a new cycle through a guided, multi-step flow:
- Basics — name the cycle and choose its type. You can optionally upload a PDF of your evaluation framework or cycle plan, and Swiftscore will attempt to auto-extract stages from it. Extracted stages are shown to you for review and approval — nothing is added automatically until you confirm them, and you can remove any stage you don't want before applying.
- Stages — add, reorder, or remove the stages (observations, conferences, etc.) that make up the cycle.
- Configuration — set per-observation options, including whether an observation is scoreless, summative, requires a pre-observation conversation, requires a post-observation conversation, or requires evidence upload.
- Teachers — assign the teachers who will go through the cycle.
- Review — confirm everything before the cycle is created.
A legacy cycle-creation path is also available from organization settings for admins who prefer it; it supports the same stage configuration.
Working within a cycle
When a teacher starts an evaluation that belongs to an open cycle, Swiftscore automatically detects the relevant milestone for that cycle and lets you select it inline — so the evaluation gets correctly attributed to the right stage of the cycle without manual lookup. (This depends on your organization having cycle milestones enabled; if it isn't, the evaluation flow falls back to a simplified picker.)
Reminders
From a cycle's detail view, admins can send a reminder directly to an individual teacher about an upcoming or outstanding step in their cycle. Reminders sent this way go out immediately.
Goals
Swiftscore supports a three-tier goal structure: district-level goals, school-level goals, and teacher-level goals. School and teacher goals can be linked to a parent goal at the tier above, so progress and alignment cascade down the organization.
Viewing goals
Goals appear on your dashboard, scoped to whatever level you're viewing (district, school, or — when applicable — an individual teacher). Each goal displays a milestone-segmented progress bar showing how far along it is.
Click "view all goals" to open the full goals list in a larger modal, with each goal's title, category, and progress visible at a glance. Clicking into an individual goal opens its detail view with its description, category, and current status.
Goal approval workflow
Goals go through a submit → approve → revise workflow. When a goal is submitted for approval, admins and principals see a banner with a count of goals awaiting their review. From there they can approve a goal, send it back for revision, or reject it. Goal detail view surfaces these same actions (Approve / Revise / Reject) for anyone with approval permissions.
Goal categories
Admins can organize goals by category, and categories are shown alongside each goal where available.
Roster (Teachers & Staff)
The Teachers & Staff area is where you manage everyone in your organization and see how they map to cycles and roles.
People tab
The People tab lists every teacher and staff member in your organization, with search and filtering so you can quickly find a specific person. The list loads progressively as you scroll, so large rosters stay fast to browse.
Adding teachers. Admins can add teachers individually or in bulk. Bulk adding walks you through uploading a list, previewing what will be imported, reviewing it, committing the import, and seeing a summary of results.
Inviting teachers. Admins can also invite a teacher by generating a personalized sign-up link scoped to a specific school. The link can be copied and shared directly with the teacher you're inviting.
Cycles tab
The Cycles tab inside Teachers & Staff shows the same evaluation cycles described above, scoped to your roster view, so you can see which teachers are part of which cycle without leaving the page.
Roles tab
The Roles tab shows the roles defined for your organization, how many people hold each role, and a readable breakdown of what permissions each role includes.
Managing an individual teacher
Clicking into a specific teacher opens their management page, organized into profile, permissions, data, and activity tabs. From here, admins can:
- Update a teacher's assigned role
- Update which school(s) a teacher is attached to
This is the central place to manage an individual teacher's access and standing within your organization.
